Commissioner Guide
Pairings & Tee Sheets
Build round pairings automatically or manually, assign starting holes, and notify players.
Pairings & Tee Sheets
Pairings determine who plays together and where each group starts.
Golf League HQ gives commissioners several ways to build the round structure, including automatic pairing, team-based pairing, and manual group management.
Overview
Commissioners can:
- Auto-pair available golfers
- Build pairings from existing teams
- Add groups manually
- Add or remove golfers from groups
- Include walk-ins
- Set starting holes
- Create shotgun starts
- Print the tee sheet
- Notify players when pairing work is ready
The pairing workflow is primarily commissioner-controlled.
Before You Begin
Before creating pairings, review:
- The round
- Player availability
- Substitute assignments
- Teams
- Starting format
- Course and hole count
Automatic Pairing
Golf League HQ can automatically create groups from available golfers.
The automatic process builds groups around the available player set and tries to avoid leaving a single golfer by themselves.
1. Open Pairings
Navigate to the round's pairing-management area.
2. Review availability
Make sure player availability is current.
3. Run Auto Pair
Use the automatic pairing action.
Golf League HQ creates groups for the round.
4. Review every group
Automatic pairing is a starting point.
Review:
- Group sizes
- Player assignments
- Starting holes
- Substitute placement
- Any duplicate or unexpected assignments
before relying on the generated tee sheet.
Use Teams
If your league already has season teams, Golf League HQ can build pairings using those teams.
Use Use Teams when the round should follow the league's established team structure.
Review the result before notifying golfers.
Season Match Schedule
Golf League HQ also supports season-long match scheduling through its match-schedule tools.
This can generate an organized team-vs-team schedule using the season structure.
Treat that schedule as a different concept from the individual round's live pairing groups.
Manual Pairings
Use manual pairing management when:
- You already know the groups
- A golfer arrives late
- A substitute needs to be inserted
- A generated group needs correction
- Your league has special pairings for the week
Add a group
Create the group manually.
Add players
Assign the golfers who should play together.
Add walk-ins
Golf League HQ supports adding golfers who need to be included during pairing management.
Remove or move players
Adjust group membership until the tee sheet matches the intended round.
Group Size
Review group sizes before league play.
The commissioner should make sure the final groups reflect the league's intended playing format.
Starting Holes
Each pairing group can have a starting hole.
This is especially important for shotgun rounds.
Commissioners and applicable league managers can adjust starting-hole information as needed.
Shotgun Pairing
For shotgun rounds, Golf League HQ assigns starting holes as groups are created.
Review the generated holes carefully if the league has many groups.
Publish Pairings
Golf League HQ includes a Publish Pairings action.
Use this as the commissioner step for advancing the round's pairing workflow and notifying players.
This is especially important if commissioners build tentative pairings in advance.
Don't assume an unpublished group is completely hidden from players.
Editing Pairings
Pairings can be adjusted after they are created.
Use this for:
- Late availability changes
- Substitute changes
- Player corrections
- Starting-hole changes
However, avoid unnecessary pairing regeneration after scoring activity has begun.
Print the Tee Sheet
Golf League HQ can generate a printable tee sheet straight from your browser.
Use it when your league wants a physical copy for:
- Starter table
- Clubhouse
- Cart staging
- Commissioner reference
Review the printed information before distributing it.
Print Scorecards
Next to the tee-sheet action, Print Scorecards generates printable, hand-fillable scorecards for the same round — useful when the league wants paper cards for the group, for players who prefer not to score on a phone, or as a backup at courses with no signal.
Each card includes:
- The group label and the round's date, course, and tee
- Real course data for that group's tee: yardage, par, and per-tee stroke index
- Every player in the group with their tee and handicap
- Blank score rows to fill in by hand
- Signature lines
- The instruction "Return SIGNED card to:
"
Layouts:
- 18-hole rounds use the league's Printed scorecard layout setting — Option A (2-up landscape) or Option D (2-up portrait).
- 9-hole rounds always print Option C (4-up landscape) and render whichever nine the round covers (front = holes 1-9, back = holes 10-18).
Commissioners and Secretaries can print scorecards. Generate them after pairings are final, since the cards are built from the current groups.
Pairing Validation
The commissioner should verify the final tee sheet.
Specifically check:
- Each golfer appears where expected
- No golfer is accidentally assigned twice
- Groups have appropriate sizes
- Subs are in the correct group
- Starting holes are correct
- Shotgun holes don't conflict
- The pairing matches the league's intended teams or match schedule
Golf League HQ gives you flexible pairing tools, but the commissioner remains responsible for reviewing the final result.
Best Practices
Don't publish immediately after auto-pair
Review the generated groups first.
Confirm subs separately
Assigning a substitute does not automatically update pairing membership.
Avoid regenerating after scoring begins
If a small correction is needed, edit the existing groups instead of rebuilding everything.
Print only after final review
Use the final version of the tee sheet, not an early draft.
