Roster & Roles

The roster is where commissioners manage the people who make the league run.

From here, you can add players, manage league-specific information, update player roles, review handicaps, and approve Senior Tee eligibility.

Overview

Golf League HQ supports several ways to build and maintain your roster:

The Roster tab is where you manage every player in the league.
  • Add a player manually
  • Add an existing player from your organization
  • Send bulk league invitations by email
  • Edit player information
  • Assign league roles
  • Manage league handicap overrides
  • Assign flights
  • Mark designated substitutes
  • Review dues-related player status
  • Approve Senior Tee eligibility

Some roster-management responsibilities can also be handled by a Secretary.

Before You Begin

It helps to understand the difference between the organization roster and the league roster.

  • Organization players belong to the broader organization.
  • League members are the players assigned to a specific league.

A golfer can exist at the organization level before being added to a particular league.

Add a Player Manually

1. Open the roster

Open the league and navigate to the roster or player-management area.

2. Choose Add Player

Use the commissioner action for adding a player.

3. Enter the player information

When manually adding a player, Golf League HQ requires the information shown in the player form.

The handicap entry accepts values from 0 through 54.

4. Save the player

Complete the form to add the golfer to the league.

Add Players From Your Organization

If the golfer already belongs to your organization, use the organization-player workflow instead of creating a duplicate player.

Select the appropriate player and add them to the league.

This helps keep the golfer associated with the same organization-level profile.

Invite Players by Email

Golf League HQ supports bulk league invitations by email.

These invitations send players the league's shared join code.

They do not create individual player records automatically.

League Join Code

The league uses one shared join code.

It is not a unique code per golfer.

Share the code with the players you want joining the league and manage it from League Settings.

Edit a Player

Commissioners can edit league-specific player information from the roster.

Depending on the player and league configuration, editable information can include:

  • Handicap
  • Flight
  • Role
  • Designated-substitute status
  • Dues-related information

Secretaries can assist with some player-management functions, including handicap-related updates.

Player Roles

Golf League HQ uses league-specific roles.

The primary roles are:

  • Player
  • Secretary
  • Commissioner

Player

Players participate in the league and use the player-facing scoring, round, standings, and profile experience.

Secretary

Secretaries can assist with several league-management responsibilities.

They can help with areas such as:

  • Handicap updates
  • Senior Tee approval
  • Round management
  • Substitute management
  • Live scoring
  • Scorecard unlocking
  • Standings recalculation
  • Wallet transactions
  • Teams (editing existing teams: team handicap overrides, starting holes, A/B swaps)
  • Announcements

Not every commissioner control is available to a Secretary.

Commissioner

The Commissioner has the broadest league-management access and controls key league configuration and administration.

Changing Roles

Commissioners can manage league roles from the roster.

Use role changes carefully, especially when assigning commissioner-level access.

Transfer Commissioner Responsibility

When commissioner responsibility needs to change, use the role-management tools available in Golf League HQ.

Before transferring responsibility, make sure the incoming commissioner understands the league's current:

  • Settings
  • Season
  • Teams
  • Schedule
  • Pairings
  • Handicap rules
  • Dues process

Understanding Player Handicaps

A player may have more than one handicap-related value available to Golf League HQ.

Depending on configuration, handicap information can come from:

  • The player's computed handicap index
  • An organization-level handicap
  • A league-specific handicap override
  • A frozen handicap value for a season

The league-specific roster value can be used to override broader player handicap information for that league.

Handicap Freezes

Golf League HQ supports handicap freezes for a season.

When a player's handicap is frozen, the frozen value takes precedence for the applicable season.

Use this when your league rules require handicaps to remain fixed for a defined period.

Senior Tee Approval

Senior Tee eligibility is handled per player.

It is not a league-wide switch.

1. Review the player

Find the player in the roster.

2. Confirm age eligibility

Golf League HQ uses the player's date of birth when determining Senior Tee eligibility.

3. Approve Senior Tee status

Commissioners and Secretaries can approve Senior Tee eligibility through the roster workflow.

Once approved, the player's Senior Tee status becomes available to the applicable player experience.

Preferred Tee

Preferred Tee is stored on the golfer's profile.

It is separate from Senior Tee approval.

Golf League HQ can use the player's Preferred Tee when a course has a matching tee.

Flights

Players can be assigned to flights from the league-management experience.

Use flights when your league separates players, teams, standings, or competition into different groups.

Team-level flight behavior is covered in Teams & Flights.

Designated Substitutes

The roster supports designated-substitute information.

This is separate from the round-specific substitute and pairing workflows.

Remove a Player

Commissioners can remove a golfer from the league.

Player removal is a significant action, especially once the golfer has participated in league activity.

Best Practices

Build the roster before generating teams

Team creation works best when the intended player list and handicaps are already correct.

Resolve duplicate players early

Whenever possible, add an existing organization player instead of creating another copy.

Review roles at the start of each season

Confirm who should be a Player, Secretary, or Commissioner.

Approve Senior Tee eligibility before pairings

Handling eligibility before round setup reduces last-minute tee and handicap questions.

Common Questions

Can a Secretary edit handicaps?

Yes. Secretaries can assist with handicap-management functions.

Can a Secretary approve Senior Tee eligibility?

Yes.

Can a Secretary edit teams?

Yes, for existing teams. Generating, adding, deleting teams and flight assignment stay commissioner-only.

Is Senior Tee approval a league setting?

No. It is approved per player.

Does every golfer get a unique join code?

No. The league uses one shared join code.

Does sending an invitation automatically add the golfer to the roster?

No. The invitation sends the league join information. The golfer still needs to join.

Can I freeze a player's handicap?

Golf League HQ supports season-specific handicap freezes.

Should I remove a player who stops playing?

Before removing them, review their existing league associations and history. In some cases, keeping historical participation intact may be preferable to immediate removal.
