Rounds
Schedule, configure, manage, cancel, and complete league rounds in Golf League HQ.
Rounds
Rounds are the individual league events where your schedule, course setup, pairings, scoring, and results come together.
Golf League HQ gives commissioners and Secretaries tools to create and manage rounds throughout the season.
Overview
Round setup can include:
- Round name
- Date
- Tee time
- Start type
- Tee-time interval
- Hole count
- Which nine
- Course
- Tees
- Primary tee
- Scoring-format override
- Gross skins
- Net skins
- Buy-in
- Pace of play
- Special-hole contests
- Notes
- Round type
Rounds also move through an operational status lifecycle as league night progresses.
Before You Begin
Before scheduling a round, confirm:
- Season
- Date
- Course
- Tees
- Hole count
- Start format
- League scoring requirements
- Whether skins or special-hole contests are being used
Create a Round
1. Open the schedule
Navigate to the season schedule or round-management area.
2. Add the round
Choose the option to create a new round.
3. Enter the round name
Use a clear name that identifies the event.
4. Set the date and tee time
Choose the date and starting time.
5. Choose the start type
Golf League HQ supports:
- Tee times
- Shotgun starts
For tee-time starts, you can configure the interval between groups.
For shotgun starts, the tee-time interval isn't used.
6. Choose 9 or 18 holes
Set the number of holes.
When playing nine holes on an 18-hole course, select the appropriate nine when applicable.
Select the Course
Golf League HQ supports multiple ways to work with courses.
Depending on permissions and the available data, the commissioner may be able to:
- Select an existing course
- Search and import a course
- Use scorecard-photo scanning
- Work with course-management tools

Select the Tees
Choose the tees allowed for the round.
The first tee you select acts as the round's Primary tee. Golf League HQ copies that tee's rating and slope information onto the round, so select your intended primary tee first when choosing multiple tees.
Scoring Format Override
A round can override the league's normal scoring format.
Use this when a specific event needs to operate differently from the league default.
Skins and Buy-Ins
Round setup supports:
- Gross skins
- Net skins
- Buy-in information
Configure these before play so participants understand the competition format.
Pace of Play
Rounds can include pace-of-play configuration where enabled.
When enabled, golfers are asked a pace question in the post-round feedback prompt. Use this according to your league's operating rules.
Special-Hole Contests
Golf League HQ supports special-hole contests such as Closest to the Pin.
When applicable, par-3 holes can be seeded for CTP during round creation.
Review the special-hole setup before play begins.
Notes
Use round notes for information specific to the event.
Keep operational information concise and useful to the golfers or league managers who need it.
Round Status Lifecycle
Rounds move through statuses such as:
Scheduled → Open → Pairings → In Progress → Completed
A round can also be Cancelled.
Scheduled
The round exists on the schedule but isn't yet open for active round operations.
Open
The round is ready for availability and preparation.
Pairings
Pairing work is underway or the round has moved into the pairing stage.
In Progress
League play has begun.
Completed
The round has reached its completed state.
Completed is the current end state for normal commissioner round management.
Moving Backward
Some round states can be restored or reopened.
For example, Golf League HQ includes controls for returning from certain active or pairing states when corrections are needed.
Use backward status changes carefully once golfers have begun interacting with the round.
Tee Sheet and Print Scorecards
Once pairings exist for a round, the round page offers two printable outputs:
- Print Tee Sheet — the group-by-group starting list for the starter table or clubhouse.
- Print Scorecards — hand-fillable scorecards, one per group, built from the round's real course and tee data (yardage, par, per-tee stroke index), each player's tee and handicap, signature lines, and a "Return SIGNED card to:
" instruction.
Both actions are available to Commissioners and Secretaries from the round's pairings area.
18-hole rounds print in the layout chosen in League Settings (Printed scorecard layout: Option A, 2-up landscape, or Option D, 2-up portrait). 9-hole rounds always print 4-up landscape and render whichever nine the round covers.

Cancel a Round
Use the actual round cancellation action when a round will not be played.
A cancelled round can also be restored through the current commissioner workflow.
Round Conditions
Golf League HQ also lets commissioners label conditions such as:
- Favorable
- Questionable
- Cancelled
These are informational labels.
They do not change the round's actual operational status.
To truly cancel the round, use the round cancellation action.
Rainouts
Golf League HQ includes a rainout workflow that can shift future scheduled rounds according to the configured league policy.
Use the rainout action when the league intends to move the remaining schedule.
Editing a Round
Commissioners and Secretaries can edit many round details.
Review changes carefully after pairings or scoring have begun.
Round configuration affects downstream areas including:
- Pairings
- Scorecards
- Results
- Handicap calculations
Completing a Round
When play is finished, move the round to Completed.
Before doing so, review the scoring state and resolve outstanding issues where possible. Completing a round changes its status only — Golf League HQ does not check that every scorecard is finished, so the review is the commissioner's responsibility.
Best Practices
Review tees before creating pairings
Course, tee, rating, and slope information influence the scoring environment.
Avoid duplicate rounds
Check the existing schedule before manually adding another round.
Be careful editing rounds after scoring starts
Late changes can create confusion in scorecards and results.
Use the correct cancellation tool
Conditions and cancellation status are separate.
Common Questions
Can a Secretary create or edit rounds?
Yes. Secretaries can assist with round management.
Can I use different scoring for one round?
Yes. A round can have a scoring-format override.
Can a round use multiple tees?
Round setup supports allowed tee selections.
Does changing course tee data later update an existing round automatically?
The round stores its rating/slope values when configured, so don't assume later course edits will update historical round values.
Does setting Conditions to Cancelled cancel the round?
No. Use the round cancellation action.
Can I restore a cancelled round?
Yes.
What happens after a round is Completed?
Completed is the normal end state in the current round-management workflow.
